Nominations Requested for GHROA Board of Director Positions

Hello friends and neighbors,
 
Nominations to fill the three (3) upcoming vacancies on the GHROA Board of Directors (BOD) are due by Wednesday, November 27, 2024, at 5 p.m.
 
Nomination instructions are outlined below. If you need help, don't hesitate to contact the current board at ghroa@EasyHOA.email.

If you have not already done so, please log in to the new portal using your email address. If you have trouble logging in, please email ghroa@EasyHOA.email or reach out directly to Scott Walker at (214) 843-4945 for assistance. We will use this new portal's Survey/Voting feature to vote in the upcoming BOD election.
 
Three (3) seats on the board will end at the end of 2024:
The terms of three directors on the board will finish at the end of 2024, so the Board is asking that you submit your nominations to fill these positions. We would like to express our gratitude to Scott Walker and Jennifer Sterling, who will be completing their two-year terms, and Tim Schueller, who resigned from his position a couple of months ago. Board members Rick Larson and Bart Ullrich will remain on the Board for the second year of their terms.
 
BOD Service Requirements:
Must be able to place the good of the community first.
Must be able to attend regular meetings of the board and treat fellow directors with respect.
Must have access to a computer and the internet and the ability to monitor emails regularly.
Must have a working knowledge of the dedicatory instruments, including Texas Property Code 209, the Declaration of Covenants for Horseman’s Ranch Gainesville, Bylaws, and Rules and Regulations.
 
Who may be nominated:
Per our CC&Rs, any Member/Owner in good standing, who is listed as an Owner on file with the County may nominate any Members/Owners in good standing, who are listed as Owners on file with the County to serve on the board of directors. Also, per our CC&Rs, all Board terms shall be 2-year terms, so please make certain that your nominee is prepared to serve a full term. As a reminder, open seats are elected to Board membership, not to fill a specific office. Once new directors have been elected, the Board will convene to elect officer positions. Current directors may be nominated to serve again.
 
How to nominate someone to the Board of Directors:
With the BOD Service Requirements in mind, think about who a good representative for the community to the board would be. Your nominee should also be prepared to uphold all governing documents and comply with the GHROA Board of Directors' objectives.
Once you have identified your nominee(s), please contact that person to ask if they are willing to serve.
If they agree, ask them to prepare a short bio for consideration by all Members/Owners. At a minimum, the bio should include their name, their lot number(s), and years of ownership. To further help Members/Owners to cast their vote, the bio should also include information about how the nominee plans to contribute to the Board and its Mission. Bios should not exceed 250 words.
Submit your nominations by sending your nominee's bio via email to: ghroa@EasyHOA.email by 5:00 pm on November 27, 2024
The nominees will be announced in the News & Events Section of the new portal.
 
Meet the Candidates:
After all nominations have been received, a new email with the nominee's bios will be sent to the community and posted on the website. There will be a "Meet the Candidate" Zoom meeting on Tuesday, December 3, 2024, at 7:00 pm  The Zoom link will be posted on the website, portal, and sent out via email.
 
Election Process:
The GHROA BODs have chosen to host our election on the Survey/Voting page of the new EasyHOA Portal. This method simplifies the voting process while maintaining the highest standards of voting integrity and anonymity. The Primary Member/Owner for each lot will be designated to vote in the election.
 
To see who is designated as the Primary Owner for your lot, please log into the portal, select the Dashboard tab on the upper left side of the page, and scroll down to the Owners section. You can update Notification Preferences for your account there. If you need help updating the Primary Owner or updating any account information, including email addresses on your account, please email the BOD at ghroa@EasyHOA.email. Also, please check that the email address listed for the other owner on your lot is correct.
 
The election will go live on December 3rd, 2024 (immediately following the Meet the Candidates meeting). All owners will be notified when the election is live. The election ballot will be located on the Surveys/Voting page of the portal, and the Primary Member/Owner will be able to submit their vote for each lot owned. The ballot will be open for 2 weeks, and the election will close on Tuesday, December 17th at 5:00 pm.
 
While we strongly encourage all owners to take advantage of the ease and convenience of digital voting, paper ballots will be provided for those who specifically request the manual voting method. Do so by contacting the BOARD at  ghroa@EasyHOA.email. Please request your paper ballot by November 30, 2024.
 
Should paper ballots be requested, please mail your completed ballot so that GHROA receives it by December 15, 2024.
 
Upon completion of the election at 5:00 pm on December 18, 2024, the candidates receiving the 3 (three) highest number of votes via both voting methods combined will become the new directors of the board.
Per the GHROA By-Laws, in the event of a tie, any nominee with a clear majority of votes will be deemed a winner. The nominees who are tied will then be placed on a new ballot, and all Owners/Members will vote again using the same method as the original vote. Tie-breaking elections will last 1 week, and a new count will take place. This process will be repeated until a winner is identified.
 
The results of the election will be announced at the BOD meeting on December 17th, and on the community website, portal, and via email.
 
There will be a short Regular Meeting of the new Board, before the Annual Owners' Meeting in January, where the new directors will take their seats, and the Board will nominate the new Officers (dates to follow).

Greetings GHROA Members!

The Board of Directors has voted to transition to a new website management platform for the community. This notice is to inform you about the change and invite you to register on the new website. The new service, hosted by EasyHOA, will allow you to pay your annual dues online, receive important neighborhood announcements, submit requests to the Architectural Review Committee, and more!


To register, please follow the steps here to create your unique password. 

1. Go to:  https://app.easyhoa.com/login.html
(either copy and paste this link into your browser or click the link at the bottom of this announcement)
2. Enter Username:  (Use your email address)
3. Enter your name and choose a password (First time only)

4. Login using your email and password after your initial login

If you have trouble accessing your account in the new system, please email the BOD at GHROA@easyhoa.email

In addition to this post and email from the current system, you will receive additional emails from the new system (one will have several tutorials about the new website). We have been working hard to update the new system with user profiles and owner information. Please be patient with us as we continue to complete the updates.

We will also send this email to the full list of email addresses we have since not every lot owner has a user profile in our current system.
